This policy explains what personal data Golf Simulator Hire collects through this website, why we collect it, how long we keep it and what rights you have over it. It applies to golfsimulatorhire.co.uk and to enquiries made through it.
Who we are
Golf Simulator Hire (“we”, “us”) is the data controller for the personal data described in this policy. We are a company registered in England and Wales, company number 15272162, based in Grantham, Lincolnshire.
For anything to do with your personal data, including any of the requests described under “Your rights” below, email info@golfsimulatorhire.co.uk.
What we collect
When you complete an enquiry or quote form on this site, we collect the details you enter:
- your first and last name
- your email address
- your phone number
- the service you are interested in, and whether it is indoor or outdoor
- the date of your event, the hours you want covered, and your expected start and end times
- anything you write in the event details box
- which page of the site you sent the enquiry from
If you call or email us instead, we hold whatever you choose to tell us in that conversation.
Our hosting provider also records standard technical information for every visit, your IP address, browser and device type, the pages you request and the time of the request, as part of delivering and protecting the site.
If you accept analytics cookies, we additionally collect the usage data described under “Cookies and analytics” below. We do not collect it otherwise.
Why we use it, and our lawful basis
- To answer your enquiry and give you a quote. Lawful basis: taking steps at your request before entering into a contract, and our legitimate interest in responding to people who contact us.
- To arrange and deliver a hire or build you book with us. Lawful basis: performance of our contract with you.
- To send you occasional information about our own similar hire and installation services. Lawful basis: our legitimate interest in marketing to people who have enquired about those services. We only do this where you gave us your details in the course of an enquiry or booking, we tell you at the point we collect them, and every message we send includes a way to opt out. You can tell us to stop at any time by emailing info@golfsimulatorhire.co.uk.
- To keep the site running, secure and free of spam submissions. Lawful basis: our legitimate interest in protecting the site.
- To understand how the site is used so we can improve it. Lawful basis: your consent, which you give through the cookie banner and can withdraw at any time.
- To meet our legal and accounting obligations. Lawful basis: compliance with a legal obligation.
We do not sell your personal data, and we do not use it to make any automated decision about you.
Cookies and analytics
This site sets no analytics or marketing cookies until you accept them. When you make a choice in the cookie banner we record that choice in your browser’s local storage, under the name “gsh-consent”, so we do not have to ask again. That record stays on your device, is never sent to us, and is what makes the banner disappear.
If you accept analytics cookies, we load Microsoft Clarity, a product of Microsoft Corporation. Clarity helps us see how visitors actually use the site, which pages they read, where they click and scroll, and where they get stuck, by recording page interactions and building aggregated heatmaps. It sets its own cookies (including “_clck” and “_clsk”) and collects your IP address, device and browser information, and the pages you view. Clarity masks text you type into form fields by default, so the details you enter into an enquiry form are not captured in its recordings. Microsoft processes this data as described in the Microsoft Privacy Statement, and sets its own retention periods for it.
If you decline, Clarity is never loaded and none of those cookies are set. You can change your mind at any time, , or clear the choice by deleting site data in your browser.
Your browser also lets you block or delete cookies for any site. Blocking essential cookies may stop parts of this site working.
Other services this site relies on
A few things on the site are provided by other companies. Where your browser has to contact them directly, they will see your IP address as part of that request:
- Netlify (Netlify, Inc.) hosts the website and processes enquiry form submissions on our behalf. Form submissions are stored in our Netlify account and emailed to us.
- Adobe Fonts and Google Fonts supply the typefaces the site is designed in. Your browser requests those font files when a page loads.
- YouTube (Google) hosts our videos. Video players on this site are click to play and use YouTube’s no cookie domain, so nothing is requested from YouTube until you press play.
- Instagram, Facebook, LinkedIn and TikTok links are ordinary links. Nothing is loaded from those platforms unless you follow the link.
Who we share it with
We share personal data only with the service providers above, who process it on our instructions, and with our accountants and professional advisers where they need it. We will disclose data if the law requires it.
Some of these providers, including Netlify and Microsoft, are based in the United States. Where personal data is transferred outside the UK, it is protected by the safeguards UK data protection law requires, such as the UK Extension to the EU–US Data Privacy Framework, or the International Data Transfer Addendum to the standard contractual clauses.
How long we keep it
We keep enquiry and booking records for six years after our last contact with you. That period matches how long a claim relating to a contract can normally be brought, and the period we need to keep business records for tax purposes. After that they are deleted.
Technical server logs and analytics data are kept for the periods set by our hosting and analytics providers, which are considerably shorter.
If you ask us to stop marketing to you, we keep a minimal record of that request, enough to make sure we honour it.
Keeping it secure
The site is served over an encrypted connection (HTTPS). Enquiry submissions are held in our Netlify account and in our email, both protected by access controls, and are seen only by the people who need them to answer you.
No transmission over the internet is completely secure. If a breach affects your rights and freedoms, we will tell you and the Information Commissioner’s Office as the law requires.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you
- have inaccurate data corrected
- ask us to delete your data, where there is no overriding reason for us to keep it
- ask us to restrict how we use it, or object to our use of it, including objecting to direct marketing at any time
- ask us to transfer it to you or another provider in a portable format
- withdraw your consent to analytics cookies at any time, without affecting anything done before you withdrew it
Email info@golfsimulatorhire.co.uk to exercise any of these. We will respond within one month. There is no charge.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
Children
This site and our services are aimed at adults, and we do not knowingly collect personal data from children. If you believe a child has sent us their details, email us and we will delete them.
Changes to this policy
If we change how we use personal data, we will update this page and change the date at the top. Where the change is significant we will make that clear on the site.
